🗓️ Linen Schedule
Put seasonal linen out and collect it at the end of the season, and swap items automatically after a set number of check-outs or weeks.
The Linen Schedule does two jobs automatically. Seasonal linen — put an item out for a season and collect it at the end (e.g. duvets from 1 November to 1 June). Replacement swaps — change an item after a number of check-outs or weeks (e.g. mattress protectors every 8 check-outs or 6 weeks). The page has two parts: Due now at the top (what to apply today) and Automatic rules below (where you set it all up). Quantities always come from each apartment’s General List.
Setting a rule
- Scroll to Automatic rules and find the item (use the filter box to jump to it).
- For a season, set the Put out date (month + day) and the Collect & store date. The item now has a season window and a small On badge appears.
- For an auto-replace, fill in every N check-outs and/or W weeks — whichever comes first triggers the swap. Leave both at 0 to turn it off.
- Click Save rules. Saving only sets the rule — nothing is sent yet.
Later, when a season date is reached (from an apartment’s first check-out on or after it) or an item hits its check-out / week threshold, the action appears under Due now with the apartment, the item and the quantity.
Applying what’s due
- Put out — sends the seasonal set to the apartment for the whole season.
- Collect & store — queues the set back on the Dirty Queue to be washed and put into storage for the off-season.
- Replace — packs a fresh set (it appears on the Clean Queue) and queues the worn set for collection (on the Dirty Queue), then restarts the cycle.
Apply one action with its Apply button, or Apply all → to do every due action at once. Applying is a coordinator job — a group-restricted user can see what’s due, but a coordinator applies it.
