🗓️ Linen Schedule
Put seasonal linen out and collect it at the end of the season, swap items automatically after a set number of check-outs or weeks — or both, as a seasonal cycle.
The Linen Schedule does three jobs automatically. Seasonal linen — put an item out for a season and collect it at the end (e.g. duvets from 1 November to 1 June). Replacement swaps — change an item after a number of check-outs or weeks (e.g. mattress protectors every 8 check-outs or 6 weeks). Seasonal cycles — an item with both a season and a replace rule is put out, swapped by its rule all season, and collected at the end. The page shows what is due at the top (read-only — everything packs with the property’s check-outs on its own) and the Automatic rules below. Quantities always come from each apartment’s General List.
Setting a rule
- Scroll to Automatic rules and find the item (use the filter box to jump to it).
- For a season, set the Put out date (month + day) and the Collect & store date. The item now has a season window and a small On badge appears.
- For an auto-replace, fill in every N check-outs and/or W weeks — whichever comes first triggers the swap. Leave both at 0 to turn it off.
- Set both to make the item cycle with the season (see below).
- Click Save rules. Saving only sets the rule — nothing is sent yet.
How a seasonal cycle runs (season + replace rule)
- Season start — at the property’s first check-out on or after the put-out date, the set goes in the clean bag only (nothing to collect yet). That bag shows a 🍂 Seasonals chip on the Clean Queue.
- During the season — the set is swapped by the item’s own rule (every N check-outs / W weeks, counted again from each season’s put-out): the fresh set goes in the clean bag and the worn set in the same check-out’s dirty bag, together with the normal linen.
- Season end — at the first check-out on or after the collect date, the set goes in the dirty bag only (no fresh set), marked 🍂 Seasonals — collect on the Dirty Queue. It then stays in storage until next season.
- Only one seasonal action ever lands on a check-out, so a property never gets two fresh sets on the same turnover.
Pack, skip, postpone — per item
On the Clean Queue bag, every seasonal and scheduled row (never your normal In & Out linen) has a small choice: Pack (the default), Pack what’s on the shelf — rest next check-out, Skip this cycle (the swap counts as done, nothing moves) or Postpone to next check-out. A season put-out also offers Already at the property — use it when you took the set there by hand: the system books the pieces out of On Shelf to the property, but nothing is added to this bag. When there isn’t enough on the shelf, the bag packs what’s there and the rest follows with the next check-out (shown as rest of the set / postponed from …). Reopening the bag undoes every choice exactly.
Seasonal switch-over (once, before the first season)
The Seasonal switch-over card lists every seasonal set per property. A ticked box means the set is already at the property; untick the ones that are in storage. Type SWITCH and save: an unticked set is moved in the books from At Properties to On Shelf (the total never changes) and is then packed at the first check-out after the season starts. You can change your mind until the season has started for that set — after that it is locked and runs with the cycle.
